Restaurant Chart of Accounts Template

Build your restaurant's books on a foundation that actually works. This free, fully editable Restaurant Chart of Accounts Template organizes every account by category and number, so your P&L and balance sheet tell you where the money really goes.

Start with a complete account structure covering assets, liabilities, equity, revenue, COGS, labor, operating expenses, occupancy, and other — with standard 1000–9999 numbering already mapped out.

Every cell is editable. Flag the accounts you actually use, map each one to your P&L or balance sheet, and hand a clean, coded chart to your bookkeeper or accounting software.

What Is a Restaurant Chart of Accounts?

A restaurant chart of accounts is the master list of every account your restaurant uses to record financial activity, organized by category and assigned a reference number. It's the index behind every report you run — your profit and loss statement, your balance sheet, your cash flow statement, and the numbers you hand your accountant at tax time.

Every transaction in your restaurant gets coded to one of these accounts. A produce invoice hits food cost. A payroll run hits hourly wages. Your monthly rent hits occupancy. Get the structure right and your financial statements become a diagnostic tool. Get it wrong and you're left guessing.

Why Your Restaurant Chart of Accounts Matters

Restaurants have financial realities that generic small-business account structures were never built for: inventory that spoils, two distinct cost lines that together consume most of every dollar, alcohol margins that look nothing like food margins, and tip handling that has to be tracked separately.

A restaurant-specific chart of accounts gives you:

  • Visibility into prime cost. Prime cost generally combines cost of goods sold and labor — the two largest controllable expenses in your operation. You can't track it if food and beverage costs are lumped together with operating expenses.
  • Comparable benchmarks. When your accounts follow common industry conventions, you can compare your food cost percentage and labor percentage against industry norms instead of against nothing.
  • Faster closes and cleaner audits. Coded, consistently categorized transactions mean less reconciliation work at month-end and fewer questions from your accountant.
  • Better decisions. Separating food sales from alcohol sales, or hourly wages from management salaries, turns a vague "costs are up" into a specific, fixable problem.

What's Inside the Restaurant Chart of Accounts Template

The template is a single editable spreadsheet organized into nine standard categories. Each category comes with two example accounts filled in to show the pattern, plus blank rows for the accounts specific to your operation.

Every row includes four working columns: Suggested Account #, Suggested Account Name, an In use? (Y/N) flag so you can mark exactly which accounts you're adopting, a Statement column that maps each account to your balance sheet or P&L, and a Notes field for context your bookkeeper will thank you for.
